Refund & Cancellation Policy

Effective Date: 7 July 2026
Last Updated: 7 July 2026

This Refund & Cancellation Policy applies to services purchased through UAEVisitVisa.com.

UAEVisitVisa.com is a brand operated by Ubiquitous (FZE), a Free Zone Establishment registered in the United Arab Emirates under Licence No. 8977.

By making a payment for any service through UAEVisitVisa.com, you acknowledge and agree to this Refund & Cancellation Policy.

1. General Policy

Visa application services involve administrative work, document review, technology services, payment processing, service-provider charges, application handling and other costs.

These services and costs may begin immediately after payment is confirmed.

For this reason, refunds and cancellations are limited.

2. When Processing Starts

Processing may be considered to have started when any of the following occurs:

  • Payment is confirmed
  • The application enters our processing system
  • Applicant information is reviewed
  • Documents are reviewed
  • Missing information is identified
  • The application is assigned to a tourism company, visa service provider or processing partner
  • Application information or documents are transmitted for processing
  • Submission work begins
  • The application is submitted through a processing channel

Once processing has started, costs may already have been incurred.

3. Cancellation Before Processing Starts

A customer may request cancellation before processing starts.

Where we confirm that no processing work has started and no external cost has been incurred, a refund may be considered.

Any approved refund may be reduced by:

  • Payment gateway charges
  • Bank charges
  • Currency conversion charges
  • Administrative expenses
  • Other non-recoverable costs

Submitting a cancellation request does not automatically create a right to a refund.

4. Cancellation After Processing Starts

Once processing has started, the application is generally:

  • Non-cancellable
  • Non-transferable
  • Non-refundable

This is because services and costs may already have been incurred.

5. Visa Rejection

Visa approval is entirely at the discretion of the relevant UAE immigration, government or competent authority.

If an application is:

  • Rejected
  • Refused
  • Declined
  • Not approved
  • Unsuccessful

after processing has started or the application has been submitted, the fees paid are non-refundable.

This applies even where the relevant authority does not provide a detailed reason for the decision.

The service purchased from UAEVisitVisa.com is the facilitation, administration, handling and processing support associated with an application.

It is not a guarantee of visa approval.

6. Why Fees Are Non-Refundable After Processing

By the time an application is processed or submitted, fees may already have been used to cover:

  • Application preparation
  • Document review
  • Document handling
  • Administrative work
  • Technology services
  • Payment processing
  • Partner charges
  • Visa service provider charges
  • Processing charges
  • Government-related costs
  • Submission expenses
  • Customer support

A visa rejection does not mean that the service was not provided.

7. Other Non-Refundable Situations

A refund will generally not be provided where:

  • The applicant changes their mind
  • The applicant decides not to travel
  • Travel plans change
  • Flights are changed or cancelled
  • Accommodation is changed or cancelled
  • The visa is rejected
  • The application is delayed
  • The applicant obtains another visa elsewhere
  • A duplicate application is submitted
  • Incorrect information was provided
  • Incomplete information was provided
  • Required documents were not supplied
  • Documents were unclear or unsuitable
  • The passport was expired or invalid
  • The applicant did not meet eligibility requirements
  • The applicant was subject to additional checks
  • The applicant failed to respond to requests
  • The visa was approved but not used
  • The visa was approved after the customer’s intended travel date
  • The customer misunderstood the visa requirements
  • Processing took longer than expected

8. Duplicate Applications

Customers are responsible for avoiding duplicate applications.

A duplicate application may occur where the customer submits another application through:

  • Another website
  • Another travel agency
  • An airline
  • A hotel
  • A sponsor
  • Another visa provider

Where a duplicate application creates a conflict or makes processing impossible, fees may remain non-refundable.

9. Incorrect Information

Customers are responsible for checking the accuracy of all information before submission.

A refund will generally not be issued where problems arise because of:

  • Incorrect names
  • Incorrect passport numbers
  • Incorrect dates of birth
  • Incorrect nationality
  • Incorrect travel information
  • Incorrect document uploads
  • Incorrect photographs
  • Other customer-supplied errors

Where a new application is required, additional fees may apply.

10. Missing or Unacceptable Documents

Customers must provide all required documents in the requested format.

A refund will generally not be issued where an application is delayed, closed or unsuccessful because:

  • Required documents were not provided
  • Documents were unreadable
  • Documents were expired
  • Documents were incomplete
  • The customer failed to respond to requests

11. Processing Delays

Processing times are estimates only and are not guaranteed.

A refund will generally not be issued solely because processing takes longer than expected.

Delays may occur because of:

  • Weekends
  • UAE public holidays
  • Ramadan working schedules
  • High application volumes
  • Immigration reviews
  • Security checks
  • Additional document requests
  • Government system delays
  • Technical problems
  • Other matters outside our reasonable control

12. Urgent, Express or Priority Services

Where an urgent, express or priority service is purchased, the additional charge relates to priority handling, administration or submission.

It does not guarantee:

  • Visa approval
  • A specific decision time
  • Completion before travel
  • Faster action by government or immigration authorities

Urgent, express or priority fees are generally non-refundable once priority processing begins.

13. Duplicate or Incorrect Payments

Where the same payment is genuinely charged more than once because of a technical error, the duplicate payment will be reviewed.

Where confirmed, the duplicate amount may be refunded.

14. Failure by UAEVisitVisa.com

A refund may be considered where:

  • UAEVisitVisa.com is unable to provide the purchased service
  • No processing work has been completed
  • No external cost has been incurred
  • The failure is directly attributable to UAEVisitVisa.com

Any refund decision will be made after reviewing the circumstances.

15. Refunds Required by Law

Nothing in this Refund & Cancellation Policy removes any right that cannot legally be excluded under applicable law.

16. Refund Processing Time

Where a refund is approved, processing time may depend on:

  • The payment provider
  • The customer’s bank
  • The card issuer
  • Currency conversion
  • International payment processing

Refunds are normally returned to the original payment method.

17. Chargebacks and Payment Disputes

Customers should contact UAEVisitVisa.com before initiating a chargeback or payment dispute.

Where a chargeback is made, we may provide relevant evidence to the payment provider, including:

  • The application submitted
  • Documents uploaded
  • Payment records
  • Processing records
  • Communication history
  • Proof that services were provided or costs were incurred

Fraudulent or abusive chargebacks may result in:

  • Suspension of services
  • Cancellation of applications
  • Recovery action
  • Refusal of future services
